This FAQ explains how Workera issues digital credentials through Credly, what participants can expect, and how administrators can manage common badge scenarios.
Integration overview
What is the Credly integration?
Workera's Credly integration automatically issues digital credentials, also called badges, through Credly when participants complete eligible Workera programs. Administrators choose which Workera programs are connected to which Credly badge templates. Participants receive, accept, and share their badges from Credly.
What triggers a badge?
A badge is issued when a participant completes a Workera program that has an active Credly badge mapping. Individual skill assessments do not currently trigger Credly badges.
What Workera achievements are covered?
Supported today: Program completion
How are programs mapped to badges?
A company administrator maps each eligible Workera program to one Credly badge template from the program configuration page. Each program can have one active badge mapping at a time.
How do administrators set up the integration?
Administrators connect Credly in Workera using their Credly Organization ID and API token, configure a Credly webhook, and then map individual Workera programs to badge templates. See the Credly Integration Setup Guide for full instructions.
What data does Workera send to Credly?
For each badge issuance, Workera sends the following information:
| Data field | Description |
|---|---|
| Recipient email | The participant's email address in Workera. |
| First and last name | Included when available. |
| Workera employee ID | Optional internal identifier. |
| Badge template ID | The Credly template mapped to the Workera program. |
| Completion timestamp | The date and time the participant completed the program. |
📌 Note for administrators: Confirm that this data flow is permitted under your organization's data processing agreement and privacy policies before enabling the integration.
Participant experience
Does a participant need to opt in?
There is no participant-level opt-in in Workera. After an administrator enables the integration and maps a program, a badge is issued automatically when the participant completes the program. The participant can accept or reject the badge in Credly, and the badge is not made public until it is accepted.
Will the participant receive an email?
Yes. Credly emails the participant when the badge is issued and provides a link to accept it. Workera does not send a separate badge email.
What does the participant see in Workera?
The participant's Badges page shows Pending badges that are awaiting acceptance in Credly and Earned badges that have been accepted.
Pending badges include a "Claim your badge" action, while earned badges include a "View on Credly" action. Badges that failed to issue or were rejected are not displayed to the participant.
Can participants automatically accept badges?
Yes. If auto-accept is enabled in the participant's Credly account, the badge can be accepted automatically and will appear as earned in Workera once the status is received.
What happens if a participant completes the same program again?
Workera prevents duplicate issuance for the same badge template. Completing the same program again does not create a second copy of the badge.
Badge status and lifecycle
How does Workera know that a badge was accepted?
Credly sends a status update to Workera through the configured webhook. Workera then updates the badge from Pending to Earned, or records another status such as rejected or revoked.
Do badges expire?
Workera does not currently send expiration dates to Credly. Your organization can manage expiration settings in the Credly badge template.
Can an administrator revoke a badge from Workera?
No. After a badge is issued, revocation must be completed by the issuing organization in the Credly admin console.
What happens if the integration is turned off?
Turning off the integration stops future badge issuance. Badges that were already issued remain in Credly and are not deleted.
What happens if a badge is deleted or revoked in Credly?
When the webhook is configured, Credly sends the updated badge state to Workera so that the participant's badge status remains aligned with Credly.
Existing completions and timing
Will participants who completed the program before the badge was added receive it?
Yes. When an administrator creates a new badge mapping, Workera automatically begins issuing the badge to participants who already completed the program.
How long does retroactive issuance take?
Processing begins after the mapping is saved. For programs with hundreds of participants, badges are often issued within seconds or minutes. Programs with thousands of participants may take a few hours because issuance is throttled to respect Credly API limits and allow retries.
How quickly is a badge issued after a new completion?
Issuance normally begins shortly after the participant completes the mapped program. Delivery time can vary based on Credly availability and processing volume.
Troubleshooting
A participant completed the program but did not receive a badge. What should we check?
Confirm that the participant completed the exact program connected to the badge, the program has an active mapping, the badge template is active in Credly, and the participant's email address is correct.
The badge appears as Pending in Workera. What does this mean?
Pending means the badge was issued but has not yet been accepted in Credly. The participant can open the badge from Workera or the Credly email and accept it.
The participant accepted the badge, but Workera still shows Pending. What should we check?
Confirm that the Credly webhook is configured for badge.state.changed and points to the correct US or EU Workera callback URL. Status updates may take a short time to appear.
What happens when badge delivery fails?
Workera retries temporary delivery failures automatically. Permanent errors, such as invalid credentials or a missing badge template, require an administrator to correct the integration or template configuration before issuance can succeed.
What information should we provide to Workera Support?
Please include the participant's email address, the Workera program name, the Credly badge template ID, the approximate completion time, and screenshots of any visible error or badge status.
